Online course evaluation process

Online course evaluations are optional for students and administered by eLearning Services. The process for administering the evaluations has been designed with direction from the Office for Student Learning & Success, the Faculty Union, and the Office of Institutional Effectiveness and Data Management.

This is the process from a student and faculty perspective:

  1. Faculty get email #1 prior to the launch of the online evaluation (see below for full text of message).
  2. Students get an email prior to the online evaluation being launched, alerting them that it is coming.
  3. Faculty and Students get a second email on the day the evaluation is launched in Canvas to let them know the survey is available. 
  4. The evaluation is launched in the Canvas classroom (only for students to see) for 10 instructional days.  
  5. Students then see this notice when they click into the Canvas class that has an evaluation:

  6. Students can put off taking the evaluation by clicking “do it later,”  for 5 instructional days.
  7. After that, the “do it later” button does not appear, so they must click on “Go to Evaluation“ if they want to enter the Canvas classroom.  There is one exception – if they have a test/quiz. Even though they still have to click on 'Go To Evaluation", they can click on the test/quiz on the left menu in the class without having to answer any questions and it will bypass the survey. Once they take the test or quiz, if they try to click on another link in the class menu, that is when they'll get the "Go to Evaluation" notification again. At this time they will have to submit the survey either by answering the first opt out question, or answer any other question.
  8. The first question in the evaluation tells students that it is voluntary and that they can opt out.  The student needs to answer that question or any other question (just one question) to be able to submit the evaluation and then gain access to the rest of the Canvas class.
  9. If students have two or more classes where a survey needs to be done and only complete one of them, they will see the status of the surveys in My Surveys under the Online Instructor Course Evaluation menu in Canvas where they can click on the link to complete the next one:my_surveys.JPG
  10. If a student does not go to the evaluation during the last 6 instruction days it is available, they will receive up to 3 email reminders in their Canvas inbox. They will not receive those emails if they've already submitted the survey.
  11. After the student submits the survey,  they will receive a "Certificate of Completion" in their email.
  12. Faculty and administrators will receive a email 1 day after final grades are submitted notifying them the evaluation results are available for viewing and downloading.

Email #1 to faculty prior to launch of online evaluation:

Dear [UserFullName] ,

This quarter, we will be conducting online instructor course evaluations through Canvas.  Students will receive automated emails to take the evaluation. [TableOfCourses]  They also will receive reminder emails if they have not completed the survey by [SurveyEndDate].  In addition, the students will be required to complete the evaluation before they can access their online Canvas course for the last 5 days of instruction (unless accessed via the Canvas app). 

If you have hidden the "Online Instructor Course Evaluation" on the course menu, please go to your Canvas class and click on settings > navigation and drag the "Online Instructor Course Evaluation" button up to allow student access.  Your end-of-quarter online instructor course evaluations will be available for students from [SurveyStartDate] through [SurveyEndDate].

On the first day of the survey, [SurveyStartDate],  the "Online Instructor Course Evaluation" link will appear for your students; it will disappear after the survey end date: [SurveyEndDate].  When the student first enters Canvas, a pop-up box will appear that says, "Please take a moment and fill out your evaluation, click the Go to Survey button." This pop-up allows students to "Do it Later" until the last five days of instruction and then it is replaced with a "Go to Evaluation" pop-up box upon logging into Canvas. 

The first question in the survey provides an opt-out option for students; students still have to click to “submit” the evaluation and then can access the Canvas classroom.  Students also receive a Certificate of Completion email after completing the evaluation.

You will see the “Online Instructor Course Evaluation” link on the left-hand navigation bar throughout the remainder of the quarter in your Canvas classroom but you will not be able to access the evaluation results until after final grades are submitted. You can access the results by clicking on the “Online Instructor Course Evaluation” link in your Canvas class.

As always, the content of the evaluations is anonymous.  You will not receive results until after final grades have been submitted.

Email #1 to students prior to launch of online evaluation:

Dear [UserFullName],

It's almost time for end-of-quarter online instructor course evaluations. [TableOfSurveys] These evaluations are completely anonymous and your instructor will not receive any results until after final grades have been submitted.  You will be able to access your evaluation in three ways, so pick the method that is most convenient for you:

  • Starting on [SurveyStartDate] you will see that an "Online Instructor Course Evaluation" link has appeared in your Canvas Classroom on the left-hand menu.  Click on the link and you will be taken directly to the evaluation.   
  • You will receive an email to access the evaluation on [SurveyStartDate]. You can complete the evaluation from the link in the email. 
  • Access the evaluation from your mobile device using Evaluation Kit’s free app.  You can quickly download the app from the Apple App Store or from the Google Play Store. Open the app, use this token [MobileUserToken] when prompted to access your instructor evaluation. 

The evaluations will be available from [SurveyStartDate] through [SurveyEndDate].

Email #2 to faculty announcing that online evaluation is now available:

Dear [UserFullName],

It is time for the end-of-quarter online instructor evaluation which has 17 questions.  The evaluation is completely anonymous and you will not receive any results until after final grades have been submitted.  Students will receive automated emails to take the evaluation,  as well as reminder emails if they have not completed the evaluation by target dates.  End-of-quarter instructor evaluations will be available for students from [SurveyStartDate] through [SurveyEndDate].  Students also will receive a Certificate of Completion email delivered to their go.shoreline.edu after submitting the course evaluation.

On the first day of the evaluation, [SurveyStartDate], an "Online Instructor Course Evaluation" link should appear on your course menu.   If it does not appear,  please go to Settings > Navigation and move the "Online Instructor Course Evaluation" menu button up into view for students and click Save to update course details.  When the student first enters Canvas, a pop-up box appears that says:  "Please take a moment to fill out your evaluation, click the Go to Survey button".  This pop-up allows students a "Do it Later" option for five days until [SurveyEndDate] when students are required to submit the evaluation,  however the first question provides an opt-out option for students.  After submitting the evaluation,  students can access the Canvas classroom.  After the 10-day evaluation period has ended,  the menu button will disappear from the student's menu.

Email reminder sent to Canvas Inbox for students who have not submitted the survey before the evaluation end date:

Dear Valued Student,

Please take the time to fill out your end-of-quarter instructor evaluation for your online class. You will see an "Online Instructor Course Evaluation" button in your Canvas Classroom on the left-hand menu. Click on the button and you will be taken directly to the evaluation. After completing the evaluation, you will receive a Certificate of Completion in your go.shoreline.edu account.

These evaluations are completely anonymous and your instructor will not receive any results until after final grades have been submitted.

To access your evaluation results,  click on the "Online Instructor Course Evaluation" button in your Canvas Classroom and you will be taken directly to the evaluation results for your course.  Select the PDF and comments option in order to see anonymous student comments.
